CRM

The outbound pipeline. CRM tracks companies, people, opportunities, touches, tasks and planned touches; everything else goes in notes or custom fields.

Your day

  • Today is where the day starts: your own open tasks under Overdue, Due today and Upcoming, the opportunities with no open task, the drafts waiting for approval or ready to do and the people who reach the retention limit within 30 days.
  • Pipeline is a board of opportunities by stage, each card showing the company, the value range, when it was created and the days in its stage. Moving an opportunity to lost always asks for a reason.
  • Tasks are dated next actions with an assignee, so work is handed either way. Every open opportunity should carry one, and the app flags those that do not.
  • A record whose last activity is more than 30 days old carries a Stale badge, so a relationship going cold shows.

Companies and people

  • People and Companies are tables you filter, sort and search, including by your own custom fields. A sorted or filtered list is a link you can send somebody.
  • The record page holds the fields, a notes box that takes plain text or Markdown, a person's channel identities, contact preferences and company affiliations, the open tasks, the planned touches, a company's opportunities and the timeline.
  • The app refuses to make a second copy of a person with the same LinkedIn profile, email or phone, or of a company with the same domain or name, and offers to open the existing one.
  • Imports load a spreadsheet of companies or people through one wizard: map the columns, preview and run. The report counts the rows created, updated and skipped and lists the rows rejected with the reason.

Touches, drafts and templates

  • A touch records something that already happened: a connection request, a message, an InMail, a call, a meeting or a note. The touches make up each record's timeline.
  • A draft is something you intend to say, written out and waiting for approval. Compose, approve, do it for real, then confirm in one click, and the draft becomes the touch on the timeline.
  • A template is outreach copy with merge fields, such as the person's first name, that the app fills in as you compose. Every version of the words is written by one person and approved by another, and the old versions are kept.
  • The form counts characters as you type, and approval refuses a LinkedIn connection note or an InMail that is too long.

Contact preferences, erasure and retention

  • A person's contact preferences record what they have said about being contacted, per channel and overall. Do not contact stops a plan being composed, approved or confirmed on that channel.
  • Erasure closes the person to contact at once, and everything attached to them is removed in the next maintenance run. What remains is an anonymous note that an erasure happened and a one-way fingerprint of each erased identifier, so the same LinkedIn URL or email cannot be added again.
  • The maintenance run deletes people untouched for 13 months, unless an open or won opportunity or a pending draft protects them.

Projects

The work you deliver and who does it. What you see depends on your access level: Limited sees the projects you are on and no money, Manager runs the projects you are on with the money and Admin sees every project and holds the customers, the tax rates, the billing settings and the members.

Time

  • The Timesheet is a week of seven columns with a row for every active project. You type hours on a project billed by the hour and days on one billed by the day, with a note of what you did.
  • Time already charged to an invoice is marked Invoiced and cannot be changed.

Customers, quotes and projects

  • A customer is a company you bill, with the currency, the billing address and the tax number its documents carry.
  • A quote is a priced offer with a line for each thing you offer. It moves from Draft to Sent, then Accepted or Declined, and an accepted quote starts a project in one step.
  • A project is billed by the hour or by the day, in its customer's currency. Its page shows revenue, cost, margin and the time not yet billed, and names the people assigned to it and what their work sells for.
  • Cost rates are dated, so a project's cost reads each day's work at the rate that covered that day.

Invoices and credit notes

  • An invoice is filled by charging the project's uninvoiced time in one press, by copying an accepted quote's lines or by hand. It moves from Draft to Issued, then Paid, and an issued invoice can be corrected until it is paid.
  • A credit note gives a customer some of what they were billed back. It starts from an invoice or is written by hand, and an issued one comes off the project's revenue.
  • Quotes, invoices and credit notes download as PDF documents carrying your logo, your billing address, the terms and, on an invoice, the payment details. Your company registration number and registered office sit at the foot of every page.
  • Tax rates, a VAT setting and a reverse charge setting per customer are yours to set; the product never decides a tax treatment for you. A document keeps the rate in force on the day it was sent or issued.
  • Documents are numbered in sequence with a prefix of your choice, and an invoice and a credit note never share a number.

What the suite shares

Sign-in and access

  • Your team signs in through your organisation's identity provider, or with an invited password. The app passes you to your company's own sign-in page and brings you back to the page you started from.
  • What each person can do is the roles an administrator grants them in the app: one each for CRM, Projects and Administration.
  • You stay signed in across a refresh and in new tabs, and Sign out ends the session in every tab.

Administration

  • Our organisation holds your company's name and legal details, which your quotes, invoices and credit notes print.
  • Custom fields add your own text, number, date, select or URL fields to the records that take them.
  • Users lists everyone who has signed in and their access level in each area.
  • Audit is the activity trail: who did what and when, from the app or an assistant, and never the content of a record.
  • Suppressions lists the identifiers left behind by erasures, showing only the channel and the date.

Connecting an AI assistant

  • An AI assistant reads and updates neine through its MCP server. Claude and ChatGPT connect the same way: give the assistant the MCP address, let it register itself and sign in with your company account.
  • The assistant acts as you and reaches only the areas whose roles an administrator grants you. Administration is not on the MCP server at all.
  • In CRM an assistant can search and update companies and people, log touches, manage tasks and opportunities, compose drafts from templates and erase a person when you ask it to, after you confirm.
  • In Projects an assistant reads the projects and keeps the timesheet. It writes no quote and no invoice: those are written, priced and sent on the screens under your name.
  • Every action an assistant takes is recorded in the audit trail under your name.

Everyday use

  • The app is light or dark as your device is set.
  • Every screen carries an About panel that says what the screen is for.
  • When a colleague saves a record you have open, your save is refused rather than overwriting theirs, and the form shows both values where you both changed the same field.
  • On a phone, a table's rows become cards.
